This Privacy Policy explains how Sublookout collects, uses, and protects your information when you use our service. By using Sublookout, you agree to the practices described here.
1. Information We Collect
We collect the following types of information:
- Account information — your name and email address, provided through our authentication provider (Clerk) when you sign up.
- Monitor configuration — the subreddits, keywords, notification settings, and other preferences you set up in the app.
- Match results — Reddit posts that matched your keywords, stored so you can review them in the dashboard.
- Usage data — basic information about how you use the service, such as feature interactions and error logs, used to improve reliability.
- Cookies and analytics — we use cookies and Google Analytics (GA4) to understand how visitors use our website. This includes anonymized data such as page views and session duration.
We do not collect payment card details. Billing is handled entirely by our payment provider, who manages all payment information on our behalf.
2. How We Use Your Information
- To operate the service — running your keyword monitors, storing results, and displaying them in your dashboard.
- To send notifications — delivering email alerts and Slack messages when keyword matches are found, if you have notifications enabled.
- To manage your subscription — tracking your plan and usage limits.
- To improve the service — analyzing usage patterns to fix bugs and prioritize new features.
- To communicate with you — sending important service updates or security notices to your account email.
We do not sell your personal data. We do not use your data for advertising purposes.
3. Third-Party Services
We use the following third-party services to operate Sublookout:
- Clerk — handles user authentication and account management.
- Resend — delivers transactional emails such as keyword match alerts.
- Slack — if you connect a Slack workspace, we send match notifications to the webhook URL you provide. We do not retain access to your Slack workspace beyond sending those messages.
- Google Analytics (GA4) — collects anonymized usage data on our website to help us understand traffic and user behavior.
- Reddit — our service reads publicly available Reddit posts through the Reddit API. We do not access private Reddit data.
Each of these providers has its own privacy policy governing how they handle data.
4. Cookies
We use cookies for two purposes: to keep you signed in to your account (session cookies managed by Clerk) and to collect anonymized analytics through Google Analytics. Analytics cookies are only set if you accept cookies when prompted.
You can decline cookie tracking at any time using the banner shown when you first visit the site. Declining analytics cookies does not affect your ability to use the service.
5. Data Retention
Your data is retained for as long as your account is active. Monitor results are stored up to the limit you configure in your settings (default 100 results per monitor). When you delete your account, your monitors, results, and account data are permanently deleted.
Some data may be retained in backup systems for a short period after deletion as part of normal infrastructure operations.
6. Your Rights
You have the following rights regarding your data:
- Access — you can view all data associated with your account through the dashboard.
- Deletion — you can delete your account at any time through your account settings. This will permanently remove your data from our systems.
- Correction — you can update your account information at any time.
- Portability — if you need an export of your data, contact us at the address below.
7. Security
We take reasonable technical measures to protect your data, including encrypted connections (HTTPS), access controls, and using reputable infrastructure providers. However, no system is completely secure, and we cannot guarantee absolute security.
8. Children
Sublookout is not intended for use by anyone under the age of 13. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we make significant changes, we will update the date at the top of this page. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
